Presentation and Format of the Summary

 

  • Keep it short, simple and precise: 2/4 sides of A4 is sufficient (10 sides would be the very most)

  • Layout: keep it simple – limit the number of graphs, charts and pictures and the amount of raw data, be selective. Large amounts of these types of information can confuse people. Keep the colour scheme in perspective, too many clashing colours will not allow the audience to read the document. Keep the print of a readable size and in a clear font. Ensure that the document allows people to write on it easily. Ensure that it is simple to read and understand. Remember, the simpler it is, the lower the cost.

  • Format: have it produced in different formats. These can include a written document, which can be distributed at venues and sent to groups; a format for the internet; a power point presentation (so that managers can cascade the information); a tape; a comic format for young people. Ensure that when producing different formats that the main content remains the same otherwise you will not be able to compare feedback.

  • Test it: get someone who knows nothing about the Audit process to read it. If they understand it then go with it. This process costs nothing and is crucial.

Build in time to produce the summary. Leave at least a month to consider and produce a summary. It should not be an after thought. It is the essential document that will help communicate the findings of the Audit to the widest group of people in your area. Ensure that you have the resources to produce and distribute it. It is more important to produce this in an accessible form than to produce the full Audit in a glossy bound document.
